Privacy Notice — Platform
This notice explains how the Project Assistant AI platform may process account, project and integration data during early access and customer use.
Customer project data remains owned and controlled by the customer.
AI models are not trained on customer project data.
Access to project information is controlled by the customer’s organisation.
Users only access the project information they are permitted to see.
User accounts
The platform may process user account details such as name, work email address, organisation, role, account status and workspace membership so users can access Project Assistant AI and collaborate on customer projects.
Authentication and access control
Customer organisations control who can use the platform and what project information each user can access. Authentication and access permissions may be managed through existing identity providers and access tools, including Microsoft, Google and Auth0.
Meeting transcripts
If a customer chooses to connect meetings or invite Project Assistant AI to a meeting, the platform may process transcripts, meeting notes, participant information and related metadata to identify decisions, actions, risks, gaps and project context.
Chat messages
The platform may process chat messages sent to or shared with Project Assistant AI. This can include project questions, status updates, decisions, requirements and context shared through connected chat tools.
Emails sent to the AI
If customers email Project Assistant AI or forward project emails to it, the platform may process email addresses, subject lines, message content, attachments and timestamps to build project memory and respond to project questions.
Uploaded documents
Customers may upload or send documents such as proposals, requirements, specifications, project plans, meeting packs, risk logs and decision records. These documents are processed to help create scope, identify gaps and support delivery.
Project scope documents
The platform may create or store project scope documents, summaries, assumptions, open questions and acceptance criteria. These outputs remain part of the customer’s project information and are controlled by the customer organisation.
Backlog items
The platform may generate or synchronise epics, user stories, technical questions, acceptance criteria and related backlog items so delivery teams can turn project knowledge into structured work.
Project reports
The platform may create progress updates, risk summaries, blocker reports, stakeholder updates and post-project review material based on customer project data and connected delivery information.
Access logs
The platform may keep access logs showing account activity, authentication events, permissions, project access, integration events and security-relevant activity. These logs support security, auditability and customer control.
Support and error logs
Support and error logs may include account identifiers, workspace identifiers, timestamps, system events, diagnostic information and limited snippets needed to investigate issues. Access to support information is restricted to authorised personnel.
Integrations with Microsoft, Google, Auth0, Slack, Zoom, Azure DevOps, Jira, GitHub, Notion and other tools
The platform is designed to connect project knowledge to the tools customers already use. Where a customer enables an integration, the platform may process data from that connected tool as directed by the customer and subject to the permissions configured by the customer organisation.
Customer control and permitted access
Customer organisations decide which users, projects, meetings, messages, documents and integrations are available to Project Assistant AI. Users can only access project information where their organisation has given them permission.
